Facebook and Instagram

If you send a message or write a comment on the Houseng Facebook Page or Instagram account, we receive your message or comment together with your public profile name or username. We use the Meta platform interfaces (APIs) to publish our own posts and, where enabled, to receive and answer messages and comments. We use this data only to answer you and to manage our social media accounts. We do not use it for advertising, we do not sell it, and we keep it for the periods stated in the Retention section. Replies drafted with AI assistance are reviewed and sent by Houseng staff. To ask for deletion, see https://houseng.co/data-deletion.

What we collect

When you contact us through forms on our website, social media lead forms, e-mail, telephone or in person, we collect:

• Your name and surname
• Your phone number and e-mail address
• Information about your property (location, number of units, current condition)
• Records of your enquiry and our conversations

If a contract is concluded, we also process your invoicing and payment details.

Through the Houseng Property Assessment Tool (P.A.T.) we process the answers you give about your property (location, neighbourhood, property type and features, physical condition, legal status and permits, your goals and availability), the location you optionally mark on the map, the photos and documents you upload (for example title deed, management plan, owners' resolution, permit, income report, insurance, expense statement) and your contact details (name, phone, email). Uploaded documents may contain third-party data, such as other owners' names. Uploading documents is optional, and we recommend redacting personal data that is not needed.

Why we process your data

• To assess your enquiry and respond to you
• To identify a suitable service model for your property and prepare a proposal
• To perform the contract, if one is concluded
• To meet our invoicing, accounting and tax obligations
• To inform you about our services, where you have given consent

With your explicit consent, we also use the result of the P.A.T. pre-assessment of your property and information about it (province, district, neighbourhood, property type and features, assessment scores; not your name or contact details) on Houseng's own service platform, H-Market, to identify suitable services for your property. You can withdraw your consent at any time by writing to hello@houseng.co; withdrawal stops this use from that date. On H-Market this information is seen only by the Houseng team and by supplier partners approved by Houseng; these suppliers do not see your name or contact details. Combined with the property, this information may relate to you.

Information you give in P.A.T. is used to produce a preliminary fit score for each Houseng service model, to have the Houseng team review and verify that score, to contact you about the assessment, and to record your enquiry in Houseng's sales records (lead). This data is used only for these purposes; it is not sold and not shared with third parties outside them, except on H-Market where you have given explicit consent (see above).

Our legal bases under KVKK Art. 5/2 are: processing directly related to the conclusion or performance of a contract, compliance with our legal obligations, and our legitimate interests. Marketing communications and marketing cookies rely solely on your explicit consent.

The P.A.T. assessment is necessary to provide a pre-contractual service at your request (KVKK Art. 5/2-c). The consent you give at the end of the form covers carrying out the assessment and contacting you about it; marketing communications require a separate, optional explicit consent.

Marketing consent is separate

Receiving promotional e-mails, SMS or calls from us depends on a separate explicit consent, independent of your having read this policy. Withholding that consent does not prevent us from assessing your enquiry.

You may withdraw consent at any time, without giving a reason and free of charge, by writing to hello@houseng.co or using the opt-out link in any message.

Who we share your data with

• Our accountants and bookkeeping providers
• Our lawyers and legal advisers
• Banks and payment institutions
• Competent public authorities, where required by law
• Suppliers engaged to deliver the service

Because our lead forms run through Meta Platforms Ireland Ltd., information you submit through those forms is also processed on Meta's servers outside Türkiye. Our cloud infrastructure and e-mail providers may also be located abroad. Such transfers are made under KVKK Art. 9 on the basis of an adequacy decision or appropriate safeguards such as standard contractual clauses.

P.A.T. data is stored and processed with Houseng's hosting and database providers (Vercel Inc., Supabase Inc.). When you mark a location on the map or receive an address suggestion, coordinates are sent to Google Maps Platform (Google LLC). These providers may operate servers outside Türkiye. Transfers rely on safeguards under KVKK Art. 9.

Messages you send to hello@houseng.co and our other contact channels may be read and processed by our AI-assisted digital assistant ("Houseng digital assistant") in order to record your request and prepare a draft reply. The digital assistant does not send replies on its own; draft replies are reviewed and sent by Houseng staff. AI-assisted systems can make mistakes, so if you notice an error or omission in a reply you receive, please let us know at hello@houseng.co. As part of this processing, the content of your message may be processed on servers outside Türkiye by our service providers Anthropic PBC (AI model), Google LLC (e-mail and file infrastructure) and Resend Inc. (notification e-mails to our team). Only the data necessary to handle your request is transferred to these providers. To object to this processing or to exercise your rights under KVKK Art. 11, you can contact us at hello@houseng.co.

How long we keep your data

• Enquiries not resulting in a contract: 2 years from last contact
• Contractual relationship data: 10 years from termination of the contract
• Invoicing and accounting records: 10 years
• Marketing consent records: 3 years from withdrawal of consent
• P.A.T. assessment records and uploaded files: 2 years from last contact if no contract is concluded; the same period as contract data if one is. After that, data is deleted, destroyed or anonymised.

At the end of these periods your data is deleted, destroyed or anonymised.

Cookies

Our site uses cookies that are strictly necessary for it to function. With your consent we also use performance and marketing cookies, including the Meta Pixel, which allow us to measure advertising performance.

You can reject non-essential cookies through the notice shown on your first visit. You can also delete or block cookies through your browser settings.

Your rights

Under KVKK Art. 11 you may apply to us to:

• Learn whether your personal data is processed
• Request information if it has been processed
• Learn the purpose of processing and whether it is used accordingly
• Know the third parties to whom it is transferred in Türkiye or abroad
• Request rectification if it is incomplete or inaccurate
• Request erasure or destruction
• Request that rectification or erasure be notified to recipients
• Object to a detrimental result arising from purely automated analysis
• Claim compensation for damage arising from unlawful processing

If you are in the EEA or the United Kingdom

You may additionally have rights under the GDPR and UK GDPR to access, rectification, erasure, restriction of processing, data portability and objection. Türkiye is not covered by an adequacy decision of the European Commission; your data is transferred to Türkiye on the basis of standard contractual clauses.

Preliminary assessment tool (P.A.T.)

The P.A.T. score is a preliminary assessment calculated by predefined rules from your answers. It is not a decision that produces legal effects or significantly affects you, and it contains no income, occupancy or return promise. The Houseng team reviews and verifies the score. You keep the right to object to the result, and to ask for your data to be corrected or deleted (KVKK Art. 11). Send requests to hello@houseng.co.

Changes

We may amend this policy due to legislative changes or updates to our business processes. The current version is always published on this page.
